In fulfillment of the information obligations according to Art 12 and 13 of the General Data Protection Regulation (DSGVO), we hereby inform you as users of Career Mentoring about the most important aspects of data processing. The protection of your personal data is of particular concern to us. Your data will be processed exclusively on the basis of the legal provisions.
This privacy policy
- describes how personal data is processed within the framework of Career Mentoring and
- informs you about the nature, scope, purpose and legal basis of the processing of personal data and about the related data subject rights.
1.) Description, scope and purpose of data processing
According to the Universities Act, universities are responsible for maintaining contacts with graduates (§ 3 Z 10 UG) and the continuing education of graduates (§ 3 Z 5 UG), as well as vocational training, qualification for professional activities (§ 3 Z3 UG). Career Mentoring networks graduates who want to share their experience with students and graduates who benefit from this knowledge.
The following categories of data are processed for the purpose of the administration of the Career Mentoring:

1 a.) Mentoring newsletter
Description and scope of data processing
You have registered for the mentoring newsletter. For this purpose, your personal data listed below will be processed:
- First and last name
- E-mail address
Purpose of data processing
These data will be processed for the purpose of sending you the requested news and information about the Career Mentoring program of the University of Graz.
Legal basis of data processing
The processing of the above data is based on your consent (Art 6 para 1 lit a DS-GVO), which you can revoke at any time at mentoring@uni-graz.at.
2.) Legal basis
When registering on the Mentoring Platform, I give my (explicit) consent pursuant to Art 6 para 1 lit a DS-GVO or Art 9 para 2 lit a DS-GVO to the processing of the data listed above. The consent can be revoked at any time without giving reasons. The revocation does not affect the lawfulness of the data processed until the revocation.
3.) Transmission of data
The data processing in the context of the mentoring program is carried out on the one hand internally at the University and on the other hand with the support of our processor of the Alumni Association of the University of Vienna, which provides the mentoring software "alma" as "Software-as-a-Service".
4.) Duration of data storage
Data that we process from you based on consent will remain stored until you revoke your consent. Beyond that, only your absolutely necessary personal data will be stored for the purpose of proving your consent or revocation for a period of 3 years from revocation.
You have, however, the option to irrevocably delete your entire profile yourself at any time, so that it is no longer available to the University. If you decide to do this, immediately after deletion on your part, we no longer have any of your data available to us and therefore it can no longer be processed. There is also no possibility to restore the profile.
5.) Calling up the Career Mentoring Platform
When calling up the Career Mentoring Platform, the web servers temporarily store each access and the activities in a log file and in the member's profile. The following data is collected and stored until automated deletion:
- IP address of the requesting computer
- date and time of access
- name and URL of the retrieved data
- amount of data transferred
- message, whether the retrieval was successful
- Identification data of the browser and operating system used
- Name of your Internet access provider
The processing of this data is for the purpose of ensuring the use of the website (connection establishment), system security and technical administration of the network infrastructure. In addition, the processing serves the optimization of the Internet offer. The IP address is only evaluated in the event of attacks on our network infrastructure.
6.) Cookies and website analysis services
The Career Mentoring Platform uses Matomo for web analysis. For this purpose, so-called "cookies" (small text files) are stored on your computer and transferred to the server in order to process usage information exclusively for absolutely necessary purposes of range and usage measurement.
The processing of your data serves web usage analysis purposes, in particular to compile reports on website activity for us as website operators and thus to be able to improve our website.
You can prevent the installation of cookies by selecting the appropriate settings on your browser software; however, we point out that in this case you may not be able to use all features of this website. If you do not agree with the storage and analysis of the generated usage information, you can object to this below. In this case, a so-called deactivation cookie will be stored in your browser, with the result that Matomo will not collect any session data. Attention: If you delete their cookies, this has the consequence that the deactivation cookie is also deleted and must be filed by you again.
